The Electronic Building Identity links property records to the documented existing condition. PPO coordinates collection, review and completion of the file by the responsible engineer. Depending on the case, the scope covers the whole building or an individual property unit.

What does it include?

  • Review available permits, drawings, title deeds and regularisation declarations.
  • Inspect the property and cross-check records, identifying missing information that needs to be addressed.
  • Compile the file and have the required documents issued by the responsible engineer, provided the conditions are met.

What do you receive?

The agreed file and documents required by the procedure are delivered. Building Identity does not replace the resolution of unauthorised works or outstanding legal issues. Changes to the property must also be assessed for any need to update its records.

How do we begin?

Tell us the purpose and preferred completion date. The permit, drawings, title deeds and previous declarations help identify gaps in the file early.

The technical file describing your property

The Electronic Building Identity brings together the information documenting the condition of a building or a separately owned unit. PPO reviews and organises the required records, carries out the inspection and coordinates registration by the responsible authorised engineer.

A whole building or a separate unit?

The assignment may concern an entire building or a specific horizontal or vertical ownership unit. We examine the titles and ownership deed to ensure the file covers the correct property. For an apartment, its description and floor areas must correspond with plans, permits and any declarations of unauthorised works.

Documents and procedure

  1. Collect title deeds, permits, plans and earlier declarations concerning the property.
  2. Inspect the property and check the actual condition against the file.
  3. Identify and address missing information or discrepancies before completion.
  4. Register the details in the electronic register and issue the required documents in accordance with the procedure.

The document checklist is tailored to each case. Energy performance records or other technical information may be needed, depending on the property and file requirements.

What affects cost and timing?

Key factors include record completeness, the availability of approved plans and the need for additional surveys or resolution of outstanding matters. The quotation separates the Identity work from any additional studies or procedures. Tell us at the outset if a contract-signing date has been set.

Frequently asked questions

Does the Identity legalise unauthorised construction?

No. It records and documents property information. If unauthorised works are identified, the appropriate legalisation or regularisation procedure must first be examined.

Is the E9 tax form enough to start and complete the process?

E9 can help with initial recording, but does not replace title deeds, permits, plans or an inspection. The engineer determines the required file.

Who can access the register?

The official gov.gr Building Identity service describes access for authorised engineers registered with the Technical Chamber of Greece and the entry or amendment of records.
